You will oversee all aspects of human resources, onboarding, credentialing, compliance, and payroll practices and processes for a growing nationwide healthcare staffing and technology company. We are completely reinventing our systems and process and looking for an agile, innovative, and adaptable team member to lead and grow with us. The ideal candidate has seen nurse staffing and/or per diem/contract staffing operations firsthand is not afraid of the detail work and moving fast. You like to be a meticulous operations manager as well as an inspiring leader who excels at fostering a phenomenal culture. You are great with technology and geek out when you make something more efficient. This is very fast paced and you must be comfortable rolling up your sleeves and digging in versus delegating.

People are our most important asset and you’ll be the one to ensure we have a happy and productive workplace where everyone works to realize our established mission and objectives. We supply per diem, contract/travel, and temp-to-hire CNAs, nurses and nursing support to hospitals, nursing homes and medical offices. You will report directly to the Founder & CEO who is in Newport Beach, CA.

This will be a 100% remote position. You will be serving an East Coast clientele and workforce and will require East Coast hours and ability to manage a healthcare workforce that works 24-7 hours.


  • Draft and implement new standard template employment agreements, employment training programs and employment handbooks aligned with the overall business strategy
  • Research, recommend, and implement new benefits programs applicable for corporate employees, travel nurses, and contract employee classifications
  • Recommend a per-diem compensation program for travel nurses that fosters VitalHire as the travel nursing employer of choice
  • Establish online workflows in a technology to be established to manage credentialing, onboarding, and compliance
  • Ensure every corporate employee is fully set up with proper technology, software, and training to ensure success
  • Complete healthcare workforce credentialing, including verifying CNA/LPN/RN licenses, skills, immunizations
  • Complete background checks and drug screens
  • Draft and communicate offer letters to per diem, contract, and temp-to-hire staff deployed to client locations
  • Onboard new hires and provide an orientation to every new employee as well as a follow up performance management program to foster success and retention of hires
  • Add new hires to payroll systems, run weekly payroll and communicate details of hires to accounting
  • Manage garnishments
  • Conduct bi-monthly employee checkins and coaching to staff on assignment and staff awaiting next assignment and follow up on progress with client relationship managers
  • Nurture a positive working environment where every hire matters
  • Oversee and manage a performance appraisal system that drives high performance
  • Manage absences, provide regular performance feedback sessions, and communicate summaries to client account managers as well as ensuring documentation in HR systems
  • Schedule COVID tests and administer FFCRA leave paperwork and manage returns to work
  • Manage on-call, after-hours corporate response team
  • Manage Monday timesheet confirmations, review and edit timesheets for mathematical accuracy
  • Data entry of weekly time into Gusto payroll system and internal tracking systems
  • Tracking total hours and alerting relationship managers to ends of conversion contracts
  • Communicate verbally and written voluntary and involuntary terminations and inactivate in internal tracking and payroll systems
  • Bridge management and employee relations by addressing demands, grievances or other issues
  • Report to management and provide decision support through HR metrics
  • Ensure legal compliance throughout human resource management
  • Obtain Joint Commission accreditation, certification and ensure standards followed
  • Complete Employment Verifications


  • Proven working experience as HR Manager, Operations Manager, Staffing Manager, or Clinical Hiring Manager in a staffing agency or travel nursing environment
  • Experience tracking immunizations, certifications and ability to review medical record to ensure immunization compliance
  • Has working knowledge of Bullhorn, TSheets/Kronos Time, Gusto, Bamboo HR or other similar applicant tracking and payroll management software and how each integrates with each other
  • Has managed large volume of shift workers
  • Has working knowledge of video chat and phone system software and can train employees and troubleshoot basic questions
  • Must be quick, high sense of energy and be able to pivot at a moment's notice
  • Excels in the gray areas and doesn't require every task to be detailed
  • High sense of urgency and can intake information quickly and achieve high levels of output
  • People oriented and results driven
  • Very quick with technology and well-versed in a iMac, Google Calendar, Gmail, Google Docs, Google Sheets, Google Meet environment
  • Must be able to work independently and entirely remote without distraction
  • Must be knowledgeable of California and New York employment requirements
  • Demonstrable experience with Human Resources metrics
  • Knowledge of HR systems and databases
  • Ability to architect strategy along with leadership skills
  • Excellent active listening, negotiation and presentation skills
  • Competence to build and effectively manage interpersonal relationships at all levels of the company
  • In-depth knowledge of labor law and HR best practices
  • Degree or advanced certification in Human Resources or related field
